How to Use the Kit
Step 1: Adapt the Policy Template
Open the policy template and replace placeholders with your church’s name, leadership structure, and ministry priorities. Adjust language so it reflects your theology and culture. Allow enough time to review privacy, permissions, and the tools your team actually uses.
Step 2: Review with Leadership
Review the draft with your elders or leadership team. Resolve questions about authority, privacy, and accountability, then follow your church’s established approval process. More than one meeting may be needed.
Step 3: Train Staff and Volunteers
Use the rollout plan to introduce the policy to staff and volunteers. Collect signed acknowledgment forms from everyone. Practice realistic examples and confirm that people understand when to stop and ask a leader.
Step 4: Communicate to Your Congregation

Keep the policy alive
Set a calendar reminder to review the policy annually and after any meaningful change in the AI tools your church uses. A policy is useful only when leaders know it, volunteers can follow it, and people are willing to pause when a use case crosses a boundary.
