Church management software (ChMS) is one of the most marketed products in the church world. Every platform promises to transform your church’s administration, communication, and discipleship tracking.

Most small churches do not need it. Not yet.

A church of 65 people can manage its member records, giving, and communication with a spreadsheet, a free email tool, and a Facebook page. Paying $50 to $200 per month for software that does what a spreadsheet does is not stewardship.

But there is a point at which ChMS becomes genuinely valuable. Here is how to know when you have reached it, and what to choose when you do.

When You Do Not Need ChMS

You do not need church management software if:

  • You have fewer than 150 active members
  • Your current system (spreadsheet, paper, or simple database) is working
  • You do not have a volunteer to manage the software
  • The cost would strain your budget

Free alternatives that handle most small church needs:

  • Member records: Google Sheets (free) or Airtable (free tier)
  • Giving: Tithe.ly, Pushpay, or Subsplash (low fees, no monthly cost)
  • Communication: Mailchimp (free up to 500 contacts), GroupMe (free group texting)
  • Volunteer scheduling: Planning Center (free tier)
  • Accounting: Wave (free)

When You Do Need ChMS

Church management software becomes genuinely valuable when:

  • You have more than 150 active members and tracking them in a spreadsheet is becoming unmanageable
  • You need to track giving, attendance, and communication in one integrated system
  • You have a volunteer or part-time staff member who can manage the system
  • The time saved by the software justifies the cost

Strong on community building and small group management. Good for churches that prioritize discipleship tracking. More complex than Breeze but more powerful.

Elvanto ($50/month)

Good balance of features and affordability. Strong on reporting and volunteer management. Less well-known but well-regarded by small church users.

What to Look for When Choosing

  • Ease of use. If your volunteers cannot figure it out, they will not use it. Request a demo and have a non-technical volunteer try it.
  • Giving integration. The giving module is often the most valuable part of ChMS. Make sure it integrates with your current giving platform or replaces it affordably.
  • Mobile access. Pastors and volunteers need to access the system from their phones. Make sure the mobile experience is good.
  • Customer support. When something goes wrong, you need help quickly. Check reviews for customer support quality.
  • Data migration. Can you import your existing member data? Starting from scratch is painful.
Practical Tip: Before purchasing any ChMS, identify the specific problem you are trying to solve. “We need better organization” is not specific enough. “We cannot track which members have completed background checks” or “We have no way to see who has not given in six months” are specific problems that ChMS can solve.
